How the AI Writes Replies

RepliFast uses advanced AI language models with carefully built instructions to write a unique reply for every review. It does not use canned templates. Each reply is written to match the specific review and your brand voice, and to sound like a real person wrote it.

What the AI reads
Before writing, the AI looks at the whole picture of the review.
1

The sentiment

It works out whether the review is positive, neutral, or negative, and the feeling behind it, so the reply fits the mood.

2

The details

It picks out specific things the customer mentioned, like a staff name, a dish, a service, or a problem, and references one or two of them in the reply.

3

The rating and length

It considers the star rating and how much the customer wrote, then matches the reply to it.

4

Your owner context

If you added a note about the review, the AI uses it to write a more accurate, personal reply.

Replies that sound human
A lot of work goes into making sure replies do not sound robotic or AI-generated.
1

No robotic phrases

Stock phrases like "thrilled", "delighted", and "valued customer" are blocked automatically, so replies read naturally.

2

Natural punctuation

The AI avoids the patterns that make text look machine-written, and writes the way a person would.

3

Specific, not generic

Every reply references something real from the review, which proves you actually read it.

Smart length
Replies are sized to fit the review, not forced into one shape.
1

Short for short

A one-line review gets a short, warm reply. A long, detailed review gets more room.

2

More room for complaints

Negative reviews always get enough space to acknowledge the issue and offer a way forward, even if your Length setting is short.

It knows what it does not know
This is what makes RepliFast safe to trust. When a review refers to a specific situation only you would know, the AI does not make something up.
1

The context check

On negative reviews that mention a specific detail, RepliFast pauses and asks you for one line of context instead of guessing. This keeps replies honest and avoids awkward mistakes.

2

You always have the final say

You can read, edit, or regenerate any reply before it goes out, and you can even change it after it is posted.

💡 Pro Tips
  • The more specific your brand voice rules are (staff names, policies, contact details), the more personal the replies become.
  • Use Regenerate to see a different take on the same review.
  • When the context check asks for a note, a single sentence is usually enough to lift the reply.
