Getting Started Guide

This guide walks you through setting up RepliFast from start to finish. Most businesses are up and running in about five minutes, and you do not need a credit card to begin. Your account starts on a free Pro trial, so you can connect your profile, set your voice, and post real replies before you ever decide to pay. Work through the sections in order and you will have your first AI reply live on Google by the end.

Before you start
There is only one thing you need before you sign up: the right level of access to the Google Business Profile you want to manage. You have to be the owner or a manager of that profile, because those are the only roles Google lets connect an outside tool and post replies. If you are listed as an editor, ask the owner to upgrade your role first, or have them do the connection. You can check your role anytime in your Google Business Profile dashboard at business.google.com. Your profile also needs to be verified and live on Google. If you have not finished verification yet, complete that with Google first, then come back and pick up here.
Create your account and start your free trial
Go to replifast.com and click Get started. You can sign up with your email address or with your Google account, and we recommend Google since it is the same login you will use to connect your business in the next step. No credit card is required to sign up. The moment your account is created, your free Pro trial begins automatically. The trial gives you the full Pro experience, including autopilot and insights, and it runs for 14 days or 15 posted replies, whichever you reach first. There is nothing to activate and nothing to cancel if you decide not to continue.
Connect your Google Business Profile
This is the one connection RepliFast needs in order to read your reviews and post your replies. It takes less than a minute, and you stay in control of the permissions the whole way through.

Open the Google connection settings

Inside RepliFast, go to Settings and open the Google connection tab. This is where every part of the connection lives, so you can always come back here later to check it or reconnect.

Sign in with Google

Click Connect Google Business Profile. RepliFast sends you to Google to sign in and approve access. Be sure to use the same Google account that actually manages your business, since that is the account that holds your reviews.

Approve the two permissions

Google will ask you to allow RepliFast to read your reviews and post replies on your behalf. These are the only two permissions it requests, and nothing else is touched. Your Google password is never seen or stored by RepliFast.

Confirm your business appears

After you approve, Google sends you back to RepliFast and your business should show up automatically. If you manage more than one location under the same account, every location appears here so you can manage them all from one place.

Set your brand voice
Your brand voice is what tells the AI how every reply should sound, so it is worth setting before you generate anything. The fastest way is to let RepliFast learn from you: if you already have replies on your Google profile, open Brand voice in Settings and click Analyze replies. The AI reads through your past replies and sets your tone and writing rules to match the way you already talk to customers. If you are starting fresh or want to set it yourself, you can do that by hand instead. You choose a Character, anywhere from Just the facts to Very enthusiastic, decide whether replies use emojis, set how formal they sound, and pick a typical length. It takes a couple of minutes, and none of it is permanent. You can adjust your voice anytime and future replies will follow the change.
Sync your reviews and post your first reply
With your profile connected and your voice set, you are ready to bring in your reviews and try the part that matters most.

Sync your existing reviews

Go to the Reviews page and click Sync. RepliFast pulls in the reviews already on your Google profile so you have something to work with right away. If your profile has a lot of reviews, this first import can take a few minutes, so give it a moment to finish.

Generate your first reply

Pick a review and click Generate reply. The AI reads the review and writes a response in the brand voice you just set, mentioning specific details from what the customer wrote. A positive review is the easiest one to start with, so you can see the quality before tackling anything tricky.

Review it, then post to Google

Read the reply and change anything you like. If it is not quite right, click Regenerate for a fresh take, or edit the text directly. When you are happy, click Post and RepliFast publishes it to Google for you. One thing worth knowing: the reply shows up in your Google Business Profile right away, but Google itself can take up to 24 hours to display it publicly on Maps. That delay is on Google's side, not a problem with your reply.

Turn on autopilot when you are ready (optional)
Autopilot is what turns RepliFast from a tool you use into a tool that works on its own, and it is included in your free trial. There is no rush to switch it on. Most owners reply to their first handful of reviews by hand to get a feel for the quality, and only then hand over the routine ones. When you are ready, go to Settings and open the Reply automation tab. Turn automation on and choose how far you want it to go: you can have RepliFast automatically reply to and post your 4 and 5 star reviews, or let it handle everything except your lowest ratings. Either way, negative and sensitive reviews are always held back for you to handle personally, so a difficult review never goes out without your eyes on it.

  • Start by reviewing your first handful of replies by hand to get a feel for the quality before turning on autopilot.
  • The Analyze replies button is the fastest way to set your voice if you already reply to reviews.
  • Fill in your contact email and phone in Business details, so the AI can offer a way to get in touch on negative reviews.
