Managing Your Reviews

The Reviews page is where you handle every review. You can generate replies one at a time or in bulk, edit them, post them to Google, and come back to change a reply even after it is live. This guide covers the full workflow.

Review statuses
Every review has a status so you always know where it stands.

Pending

Waiting for you to generate or post a reply.

Approved

A reply is ready and approved to post to Google.

Posted

The reply is live on your Google profile.

Needs edit

The reply needs a quick edit before it can go live, for example because it mentions something only you would know.

Skipped

Hidden from your queue. You can bring it back anytime.

Tools to sort through your reviews quickly.

Filter

Filter by star rating, date, or status to focus on what matters, like unanswered or low-rated reviews.

Search

Search the review text for a name, a product, or a complaint to find related reviews fast.

Sort

Sort by newest, by rating, or by status. Sorting lowest first is handy when you want to handle complaints first.

Generating replies
Let the AI write replies for one review or many at once.

One review

Click Generate reply on any review to write a single reply. Best for reviews that need extra care.

Bulk

Select several reviews with the checkboxes and generate replies for all of them at once. Great for catching up on a backlog.

It uses your brand voice

Every reply automatically follows your brand voice settings and rules, so they stay consistent.

Editing and posting
You stay in control of the final wording.

Edit before posting

Read each reply and change anything you like. Add a detail, soften the tone, or rewrite it completely.

Regenerate

Not happy with a reply? Click Regenerate for a fresh version based on your current settings.

Post to Google

Click Post to publish the reply to your Google Business Profile. Google can take up to 24 hours to show it on Maps, but it appears right away in your Google Business Profile.

Edit or delete after posting

You can edit a reply that is already live, or delete it, straight from RepliFast. This gives you full control even after a reply is published.

Owner context and the context check
Some reviews mention things only you would know. RepliFast spots these and asks you for a quick note instead of guessing.

What owner context is

Owner context is a short note you add to a review before generating a reply, for example "this customer had a delayed delivery" or "this is a regular who visits weekly." The AI uses it to write a more accurate, personal reply.

The context check

When a negative review mentions a specific detail only you would know, RepliFast pauses and flags it with a context check instead of inventing an answer. Add one line of context and the reply gets much better.

How to add it

Click Add context on the review, type your note, and save. The note is used the next time you generate a reply for that review.

It stays private

Your context notes are only for you. They are never shown publicly on Google.

💡 Pro Tips
  • Handle low-rated reviews first so concerns are answered quickly.
  • Use bulk generation to clear a backlog, then review the replies before posting.
  • When you see a context check flag, add a quick note rather than posting a guessed reply.
  • Remember you can fix or remove a reply even after it is posted to Google.
